The Microsoft Office Word 2003 Redaction Add-in allows you to easily mark text in a Word 2003 document for redaction and create a new, redacted version of the document in which the marked text is replaced with a black bar that cannot be converted back to text. ********************************************************************** How to use this document ********************************************************************** To view the Readme file on-screen in Notepad, maximize the Notepad window. On the Format menu, click Word Wrap. You can then create a new, redacted version of the document in which the marked text is replaced with a black bar that cannot be converted back to text. You mark text for redaction by using the Redaction toolbar, which opens in Word after you install the add-in. --------------------------- Changes from version 1.0 --------------------------- In version 1.0, the toolbar and menus for the Redaction Add-in were stored in the default Normal.dot file. In version 1.1, a custom Redaction.dot file is created within the installation folder to store the redaction toolbar and menus. --------------------------- Changes from version 1.1 --------------------------- If the .NET Framework 2.0 is installed with Redaction v1.0 and v1.1, marked text may be deleted when redacted. Redaction 1.2 fixes this issue so that redacted text is replaced and blacked-out, while maintaining the appropriate location within the document. ********************************************************************** 2.0 SYSTEM REQUIREMENTS ********************************************************************** Supported Operating Systems: Windows 2000 Service Pack 3 or later, Windows XP, Windows Server 2003. This download works with the following Office programs: Microsoft Office Word 2003. ********************************************************************** 3.0 INSTALLATION AND USAGE NOTES ********************************************************************** --------------------------- Installation --------------------------- To install the Redaction Add-in, you must close Word. If you use Word as your e-mail editor, you must also close Microsoft Office Outlook and disconnect any portable devices that use ActiveSync. After you install the Redaction Add-in, you must restart Word. --------------------------- Usage --------------------------- The Word 2003 Redaction Add-in preserves visual fidelity between the original document and the redacted version of the document. The black bar that replaces the redacted text takes up the same amount of space as the original text so that line spacing and line breaks are unaffected. To help protect your redacted document from attempts to recover information by using word length, avoid redacting single words. If you need to redact a single word, you can replace it with a longer or shorter word before you select it for redaction. We recommend that you carefully review any documents redacted using this tool to confirm that all the information you intended to redact was successfully redacted. To confirm that the redacted text is not available in the electronic version of the redacted file, do the following: 1. On the Redaction toolbar, click Redact Document. 2. In the dialog box that asks if you want to protect the document, click No. 3. On the Edit menu, click Select All. 4. On the Format menu, click Font. 5. In the Font color drop-down box, select a color that will be visible in the areas of the document with black highlighting, such as yellow or red. The contents in any redacted area of the document should be a series of "|" characters. Text marked for redaction in your document has Gray-25% text shading applied. If you have used the Microsoft Office Word Highlight tool on the same text, the redaction mark will not be visible as you review the document on your computer. However, this text will be redacted when you create the redacted version of the file. To see Help information about the Redaction Add-in, click the Help button on the Redaction toolbar. ********************************************************************** 4.0 DATA THAT CAN BE REDACTED ********************************************************************** The Redaction Add-in supports the redaction of text in: The body of your document Tables Headers Footers Endnotes Footnotes Fields Table of Contents Table of Authorities Index Table of Figures The Redaction Add-in does not support redaction of: Graphics Comments Content in textboxes or frames Bullets and Numbering ********************************************************************** 5.0 KNOWN ISSUES ********************************************************************** --------------------------- Redaction Add-in redacts all data with Gray-25% text shading --------------------------- Text marked for redaction has Gray-25% text shading applied. If you have other text in a document that has Gray-25% text shading applied, that text will be redacted even if you do not use the redaction tool to mark it. --------------------------- Redaction Add-in performance improves when Office Clipboard is cleared --------------------------- Redaction performance is affected if the Office Clipboard contains a large amount of data. To improve Redaction speed, clear the Office Clipboard. For instructions, type "Clear items from the Office Clipboard" in the "Search for" box in the Assistance task pane. --------------------------- Uninstalling the Redaction Add-in --------------------------- You must close Microsoft Office Word before you can uninstall the Redaction Add-in. If you attempt to uninstall the Redaction Add-in and see a message stating that Redaction.dot is being used by another program, but Word is not visibly running, do one of the following: - Restart your computer and then uninstall the Redaction Add-in. - End the WINWORD.exe process in Windows Task Manager and then uninstall the Redaction Add-in. --------------------------- Redaction works with Word 2003 only --------------------------- The Redaction Add-in works successfully with Microsoft Office Word 2003 only. It is not intended or designed to work with later versions of Microsoft Office Word. --------------------------- Redact Document works with local documents only --------------------------- The Redact Document command works successfully only with documents that are stored on your hard disk. If you use the Redaction Add-in to edit a document hosted on a network resource, such as a Microsoft Windows SharePoint Services site, the Mark Text, Unmark Text, Show Marks, and Hide Marks commands function correctly. However, the Redact Document command can cause the Redaction Add-in to become inoperable and multiple instances of the Redaction toolbar may open. If this situation occurs, exit Word and then delete the Redaction.dot file (lociated in the folder where the tool was installed, by default in \Program Files\Microsoft Office Tools\Word Redaction). The next time you start Word, the Redaction.dot file is automatically recreated and the Redaction Add-in operates normally. ********************************************************************** 6.0 SUPPORT ********************************************************************** This add-in tool is intended for use with Microsoft Office Word 2003 only. This add-in tool is not supported by Microsoft.
